Guidance on completing the form

We accept applications for the following school session from June each year.

You can apply once per academic year for one child or more.

Where to hand in the application form

Please hand your form to Fairfield House reception, Dalkeith, or to your child’s school. Or you can post it to the address shown on the form.

Evidence that you receive Universal Credit

  • We need a copy of your full Universal Credit statement.
  • Your monthly earned income (Take Home Pay) must be under £610.00.
  • We can only process or approve your application when we receive the evidence of your first Universal Credit payment.

How to access your Universal Credit statement

Log in to your online journal. This will take you to your home page:

  1. select “Payments”
  2. select “See details of Universal Credit statement”
  3. print full up-to-date statement. The option to print is at the top right hand corner.
  4. we will not accept an incomplete statement

Evidence that you receive Income Support, Job Seekers Allowance or Employment & Support Allowance

  • If you are a Midlothian resident, we should be able to check your income on our system.
  • If you have only just started receiving benefits, we will need a letter from the Job Centre dated within the last 6 months as proof of your benefits.
  • If you have recently moved to Midlothian from another Local Authority, we will need a letter from the Job Centre dated within the last 6 months as proof of your benefits.

Evidence that you receive Child Tax Credits only

  • We need a copy of your full up to date Tax Credits Award Letter for the current financial year.
  • The correct letter will have TC602 printed on the bottom left hand corner.
  • Your annual income must be under £16,105.00.

Evidence that you receive Child Tax Credits AND Working Tax Credits

  • We need a copy of your full up to date Tax Credits Award Letter for the current financial year.
  • The correct letter will have TC602 at the bottom left hand corner.
  • Your annual income must be under £6900.00.

We only accept screenshots for a Universal Credit statement if the full statement is in the shot. Email it to [email protected].

We need original or copy of your Tax Credit Award letter.

Payment of Clothing Grant

  • Payment of £100.00 is made per child when eligible.
  • We will only notify you if your application is refused or if we need more evidence.
  • Payment into your bank account will be fortnightly from July throughout the school year. Please check your account.
  • Unfortunately we cannot pay the grant into a Post Office account, because they cannot receive Bacs payments.

How to know if free school meals have been set up

If your application is approved, it is updated instantly on the school system. You can check directly with the school office.

If your child attends High School, the funds will automatically be paid onto their cards in the morning, which they can check daily.

Please report any problems immediately to the school office.

Change of circumstances

If you no longer receive any of the qualifying benefits, you must tell us immediately. Email [email protected].
